Printing Professional-Level Reports & Pamphlets

One tool available on our DC HQ Printer is the ability to print, sort, fold, and staple reports and presentations in a full-color professional manner. However, it involves several steps in setup of both the printer and your document to ensure it works as expected.

PART 1: The Paper Needed

To print out full report documents in booklet format, 11x17 paper is needed in order to be the right size for two facing pages. Either matte or glossy paper can be used. Examples of paper that will work in the printer include:

However, any similar paper should work well.

PART 2: Setting up the printer

You will need to set up the printer in order to insert your paper. You can either choose to use the bypass tray, which is behind the printer; you need to open it up from the back panel, or Tray 3 is set for 11x17 paper. You will need though, to insert your preferred paper into either tray.

If you use thicker, glossy paper, you will need to adjust the paper thickness setting on the printer to account for it. To do this...

1. Tap on the 'Tray' item in the printer menu; it's on the bottom row.

2. Tap on the Tray number you want to change.

3. Tap on 'Change Tray Setting' to the right of the tray listing.

4. Select 'Thick2' or 'Thick3' depending on the listed thickness of the paper (you can see the rating in the upper left), then select 'Close'.

PART 3: The Process at the Computer

1. Open your document in Adobe Acrobat Reader or similar application and Select 'Print'.

2. Select the 'Booklet' button.

3. Select the Washington HQ Copier, and then select the 'Properties' button next to it.

4. Select '11x17' paper on the first tab in the 'Original Size' drop-down.

5. Select the 'Basic' tab on the top of the screen. Select the appropriate paper tray based on where you put the paper in the previous section.

6. Click on the 'Finish' tab at the top of the window.

7. Select 'Center Staple and Fold'.

8. Select 'OK'.

9. Select 'Print'.

Then, the printer will begin to whir and you will get a folded booklet with 2 staples in the center, known as a 'Saddle Stitch'. Enjoy and feel free to reach to IT or Operations with any questions.
